RECEPTIONIST POSITION
Reports to: Manager, HR& Office Administration (based in Washington, DC office)
General Responsibilities:
Answers the switchboard for NCBA’s Washington, DC office. Greets and directs all visitors to appropriate staff or meeting room. Duties include preparing documents for mailing, messenger and overnight services, office supply orders, catering orders and general appearance of lobby area, conference rooms and kitchen. Responsible for maintaining conference room schedules and setting up and breaking down all conference room meetings.
Specific Responsibilities:
· Receives all incoming telephone calls and faxes for DC office
· Transfers calls and takes messages when necessary
· Receives front door packages and distributes in a timely manner
· Maintains neat and clean appearance of lobby area, conference room, library and kitchen
· Maintains master conference room schedule, places food orders and set’s up and breaks down conference room meetings
· Maintains daily staff sign in-out sheet
· Sends out Thursday pouches to Denver & Chicago offices
· Records Staff meeting minutes and distributes to NCBA staff
· Sorts and distributes incoming mail
· Places office supply order once a month
· Serves as backup for Manager, HR & Office Administration
· Light Administrative work
· Performs other duties as assigned
· Subject to overtime.
Qualifications:
Highly detail-oriented and motivated individual. Ability to multi-task. Customer service oriented and excellent oral and written communication skills a must. Strong Microsoft Office skills required. Previous office experience a plus.
